Vendor Application

This is the application to be considered as a vendor for Freak Out Parties & Events markets throughout the remainder of 2025.

PLEASE NOTE: There are TWO (2) forms to submit: the vendor application AND the photo uploads link below it. This is to ensure Google Forms accepts your application details without the risk of complications from uploads. Hopefully this solves the problem many of you were having with Google Forms, but please reach out if you are unable to submit either portion of the application!

Please read the following information before applying and reach out if you have any questions. This is an electronic agreement and by signing up, you are agreeing to the terms outlined below.

Payment & Refund Policy:

Reservation & Payment:

  • Your space is only considered reserved once payment is received via Venmo or CashApp after approval.

Outdoor Flea Market:

  • If pre-registered vendors do not pay in advance, they may still vend, but must pay the day-of rate of $50.
  • This is a rain or shine event! Be prepared for all weather conditions (it’s Rochester).
  • In the case of extreme weather, updates will be shared via email and social media.
  • No refunds are issued for cancellations or inclement weather. If you’re unsure you can attend, you’re welcome to decide as late as the morning of the event.

Indoor Markets:

  • Failure to pay by the deadline will result in the forfeiture of your spot.
  • Social media shoutouts are based on the order in which payment is received.
  • Refunds are available up to 14 days before the event. No refunds will be given after that point.
  • Even if it’s last minute, please notify Fiona if you’re unable to attend (she promises not to be mad and would really appreciate the heads-up).

Booth Fee Transparency:

  • Your booth fee helps cover the cost of the venue, marketing, supplies, and paying performers and the event organizer.

Need to Know:

  • Applications are reviewed at least weekly. If you don’t hear back within one week, feel free to reach out to Fiona at freakoutparties@gmail.com.
  • All applications are processed by Fiona at Freak Out Parties & Events, from the email freakoutparties@gmail.com. Avoid fraud and do not send money or information to anyone but Fiona.
  • Freak Out events are safe spaces for everyone. Vendors are expected to be respectful, professional, and appropriate throughout the event. If something or someone is making you uncomfortable, PLEASE bring it to a Freak Out team member’s attention so it can be addressed.
  • Freak Out Parties isn’t a normal event organizer, they’re a cool event organizer. All of Freak Out’s events have a fun theme to bring out the little kid in all of us, because nostalgia  > real life. Selling products within the theme is not required, but is encouraged. See each event for more details!
  • Vendor approval is based on variety and order of application. Space is limited for indoor events, and some applicants may be placed on a waitlist.
  • If you are not selected for an event, PLEASE continue applying for future markets! The theme is always changing, and vendors are always rotating.
  • You are vending at your own risk. Freak Out Parties & Events, the City of Rochester, Water Street Music Hall, and any associated employees, volunteers, or contractors are not responsible for damages, loss, or injury. If you want to be protected, we recommend obtaining event insurance. We are not asking for proof of insurance; however, by participating without insurance, you waive your right to hold Freak Out Parties & Events, the City of Rochester, Water Street Music Hall, and any of their employees, volunteers, or contractors liable.

Vendor Requirements:

  • Open to collectors, artists, creators, non-profits, and small businesses of all kinds.
  • Indoor markets are curated based on theme, variety, and application timing, but all are encouraged to apply.

Set-Up Requirements:

  • Vendors must bring their own tables, tents, weights, chairs, and displays.
  • Outdoor vendors MUST use adequate tent weights. If you don’t have weights, you will be required to take down your tent or leave. This is for everyone’s safety.
  • If you’ve never used weights before, please purchase and prep them well in advance.
  • Need help? Reach out before applying.

Space Assignment:

  • Flea Market spots are assigned the morning of, based on arrival time and vendor category.
  • Indoor booths will be assigned in advance.
  • Parking and load-in instructions will be sent before the event.

Load-In / Load-Out:

  • Load-in times vary. All vendors must be fully set up by market start time.
  • If you arrive less than 30 minutes before start, your space may be reassigned.
  • Food truck load in is 1 hour before the market begins.
  • Vendors must be fully packed before bringing vehicles into the loading zone.
  • Everyone must vacate the venue by the designated time.

Attendance Commitment:

  • Vendors must remain set up for the entirety of the event.
  • There is an early departure fee of $5 per hour left early. For example, if you leave at 2pm, 2 hours before the end time of 4pm, you will be charged $10.
  • While we understand emergencies happen, if you know you cannot attend at least 4 hours of the flea market or the entirety of the indoor markets, please do not apply. 
  • Food trucks are required to stay until official market end time in order to ensure no shoppers get in the way of loading out.
  • Vendors who leave early without prior approval may not be invited back.

Other Policies:

  • At this time, cannabis, alcohol, and direct sales vendors are not accepted.
  • We also cannot accommodate specific space or electricity requests.
  • For accessibility concerns, please contact Fiona.
  • Booth sharing is allowed for no additional cost, but please let Freak Out know so both businesses can be included in emails and promotions.

Product Guidelines:

  • The Freak Out Flea and all Freak Out Markets do not recommend ’boutique’ market pricing at this event. The goal is an affordable event for both vendors and shoppers, and the majority of your prices should reflect that.
  • Indoor markets have limited space for niche vendors such as crochet, baked goods, etc.
  • Selling products within the theme is not required, but is encouraged. 
  • No illegal, prohibited, or counterfeit goods are allowed.
  • All food vendors will obtain a Monroe County Dept. of Health Permit and comply with all health and safety regulations.

Marketing & Promotion:

  • Freak Out Parties & Events asks all vendors to help promote the event online and irl so we have an amazing turn out and lots of fun!
    • Promotional materials will be shared electronically and in person.
    • Tag us on social media @freakoutparties
    • Use the event hashtags #freakoutparties and #freakoutflea
    • Let your customers know where to find you

Indoor Events Only – Mystery Gift Raffle:

  • We ask each vendor to donate one small item for mystery bags that will be raffled, sold, or used as a giveaway to raise funds for future events.
  • Donations are due the morning of the event.
  • Prefer not to participate? You may opt out with a $5 donation instead.

Additional Notes:

  • Parking information will be provided before the event.
  • No electricity or Wi-Fi is available at outdoor events. Generators are not allowed, except for food trucks.
  • Limited electricity is available at indoor events on a first-come basis.
  • Any pictures taken at the Freak Out Flea may be released publicly and shared to promote future events.
  • Please be mindful of your space, don’t leave any trash behind, be kind to your neighbors, and HAVE FUN! Before, during, or after the event, don’t hesitate to reach out to Freak Out with any and all questions or concerns.

By applying, you agree to all terms listed above. You understand that booth fees are non-refundable, and you consent to the public use of any photos or videos taken at the event. You acknowledge that Freak Out Parties & Events and its affiliates are not liable for lost or stolen property, injuries, or damages. Vendors who violate guidelines may be asked to leave without a refund and not invited to future events.

DO NOT FORGET TO SUBMIT YOUR PICTURES. Applications are not considered complete until they are submitted, but Google Docs doesn’t always play nice so we’ve got 2 separate forms.

If there are changes before or between markets and you’d like to update your application, please sign in using the same email and you should be able to edit your responses. If you have any questions or concerns, please reach out to Freak Out Parties directly.
